Interim – London – Procurement Manager
Excipion are seeking an experienced procurement specialist for an international Architecture and Interior design house to be responsible for the purchasing of FF&E for multiple projects. Some of their projects include high end residential commissions, restaurants, luxury hotels and super-yachts. The client is based in London and is looking for an interim for an initial two months.
What to expect:
Liaise with project teams to fully understand project requirements, timelines and approvals, shipping methods to successfully deliver projects on time and within budget.
Prepare tender enquiries and FF&E budgets.
Preparing project programmes understanding timelines to ensure goods are ordered and delivered on time.
Issue RFQ (Requests for quotes) using our software system, analyse and negotiate best terms.
Budget monitoring and contribute to any value engineering requirements.
Reviewing specifications for completeness, contractual compliance and accuracy.
Once Specification is checked and approved raise Purchase Orders.
Co-ordinate with the designer and supplier with the development of Bespoke FF&E items.
Check that Invoices are correct and highlight any discrepancies and deal with accordingly.
Monitor supplier progress regularly and highlight any issues that may arise and seek solutions.
Manage the storage and shipping process, both direct and indirect by working with third party storage, freight forwarders and suppliers.
Creation and improvement of best-practice based processes.
Ensure all required cost commitment, progress and shipping reports are issued to Team members.
Report to the Senior Executive team semi-monthly to provide up to date status reports on procurement, demonstrate value for money and compliance to regulatory procurement requirements, including Anti-Bribery and Corruption and Fraud.
At least 5 years’ experience purchasing for high end design, hospitality or Interior fit out projects.
Dealing with global projects and suppliers.
Track record of planning, negotiating, procurement, buying terms and contractual arrangements.
Previous experience of raising and processing Purchase Orders (POs) and Invoices.
Ability to multitask, prioritize, and manage time efficiently.
Precise and methodical approach with an eye for detail and accuracy.
Computer literate and excellent excel and accounting systems knowledge.
High level of numeracy.
Confident and able to positively interact with both team members and suppliers.
Ability to analyze problems and strategize for better solutions.
The successful candidate will come from an Interior Design/Retail/Hospitality.
